Booth Fee

The fee per booth will be $2500 CAD. The fee will include:

  • 8×10 feet exhibit booth
  • 8 feet high back drape and 3 feet high side rails
  • 6 feet draped table
  • 2 chairs
  • 1 wastebasket
  • One free registration providing entry to all scientific sessions, coffee breaks, and lunch
  • One additional booth staff pass which includes coffee breaks and lunches only
  • A listing in the ICCH14 Exhibitor page in the programme and website, which will include a 50-word description of the exhibiting organization

Registration and Booth Staffing

Each booth fee includes full registration for one company representative manning the booth during the meeting and one booth staff pass as noted above. Additional representatives must pay the regular registration fee to attend scientific sessions and lunches. A confirmation e-mail will be sent to you to confirm receipt of registration and provide your booth number. This e-mail will also guide you through the registration steps.

Exhibit Description

Exhibitors are requested to submit a 50-word typed description of their organization. The description must be received no later than March 31, 2008, so it can be included in the conference programme. If your booth description is not received by this deadline, the description will appear on the congress website only.

Booth Assignments

The floor plan of the exhibit area showing booth location will be available on the website shortly. An electronic version of the floor plan and available booths will be updated regularly on this website, allowing exhibitors to select the best remaining booth option. Booths will be assigned on a first come, first served basis. A confirmation of the location of your booth will be sent to you as soon as possible. If none of your choices are available, we will contact you to discuss a new booth assignment with you.

Security

ICCH14 will maintain security by volunteers during the day and a local security company at night, however the Congress will not be responsible for goods, property belonging to the exhibitors in the booth area. Any additional security is a chargeable expense.

Character of Exhibits

The congress steering committee reserves the right to restrict the use of glaring lights, objectionable lighting effects, or exceptionally noisy machinery. Sound presentations, slides, or movies will be permitted, if kept to a conversation level volume and if not objectionable to neighbouring exhibitors. Sound should not be audible more than 5 feet, in any direction, from the source. Exhibits must not by design cause or produce any unusual, noxious, or objectionable smoke, gases, vapours, or odours.

Booth Payment Policy

Booth payment must be made, in full, on or before April 10, 2009. Non-receipt of payment will be seen as cancellation of booth registration request.

Booth Cancellation Policy

By April 10, 2009

Request for cancellation of booth space must be made in writing by Exhibitor and submitted to the Congress Coordinator on or before April 10, 2009 to receive a refund based on the booth registration price paid, less a $400 cancellation fee for each booth space.

After April 10, 2009

For cancellation requests received after April 10, 2009 but before April 30, 2009, the Exhibitor will pay a 25% (for each booth space reserved) cancellation fee.

After April 30, 2009

For cancellation requests received after April 30, 2009, the Exhibitor forfeits full payment of the booth space.

If for any reason the ICCH14 Steering Committee cancels the exhibit show, the booth rental fees will be refunded to the Exhibitor.
